CRM & Sales Systems

Stop losing leads you’ve already paid to generate.

BizPromptly helps businesses build CRM and sales systems that capture every enquiry, organise opportunities, improve follow-up and give teams a clear view of what needs to happen next.

More leads are not always the answer. Often the bigger opportunity is improving what happens after the enquiry arrives.

Sound familiar?

Getting the enquiry is only the beginning

A prospect fills in a form on your website. Another messages on WhatsApp. Someone calls the office. A referral arrives by email. A quote goes out. Then what happens next?

If the honest answer is that it depends on somebody remembering to follow up, the business does not really have a sales system. It has a set of individual habits, and habits vary by person, by week and by how busy everyone is. That is usually where the money leaks out:

  • Enquiries scattered across website forms, email, phone notes and messaging apps
  • Slow first response while an enquiry waits for someone to notice it
  • No single record for a customer, so history is pieced together from memory
  • Unclear ownership: everyone assumes someone else has the lead
  • Quotations sent and then never chased
  • Follow-up that happens for some leads and not others
  • Opportunities sitting untouched with no next action against them
  • Past customers who are never contacted again
  • No view of what is actually converting, or where revenue is being lost
  • Managers asking staff for pipeline updates one conversation at a time

None of this is a sales talent problem. It is a structure problem, and structure is something you can build.

What a sales system is for

A CRM should do more than store names and phone numbers

An address book tells you who someone is. A sales system tells you what to do about them. At any moment, a good one lets anyone in the business answer:

  • Who has just enquired, and through which channel?
  • Who owns this lead?
  • What stage is the opportunity at?
  • What needs to happen next, and by when?
  • Which quotes and proposals are still outstanding?
  • Which opportunities are going cold?
  • Which past customers are worth contacting again?
  • What is actually converting, and what is not?
  • Where is the business losing revenue in the process?

BizPromptly helps you build the system that can answer those questions without anyone having to go and ask around.

A sale is a sequence

Every opportunity moves through the same stages

When those stages are defined and visible, nothing has to live in someone’s head and nothing quietly stops moving.

  1. 01

    Enquiry

A new lead is captured from any channel and lands in one place, not a personal inbox.

  2. 02

    Qualified

An owner is assigned and the lead is checked for fit, so effort goes where it counts.

  3. 03

    Proposal / Quote

The quote is sent and logged against the record, with a follow-up date attached.

  4. 04

    Follow-up

Follow-up happens on a scheduled task, not on someone remembering.

  5. 05

    Won

The outcome is recorded and won customers move into a follow-on relationship process.

Our approach

Sales systems should start with the customer journey, not the software

Choosing a CRM first and shaping the business around it is how most implementations go wrong. We work the other way around. Before configuring anything, we build a clear picture of how selling actually happens here:

  • Where leads actually come from
  • How customers currently get in touch
  • How enquiries are handled today, and by whom
  • How quotations and proposals are produced and sent
  • How follow-up happens, and how consistently
  • How opportunities get assigned and owned
  • What happens after someone becomes a customer
  • Whether past customers are contacted again
  • What sales reporting exists, if any
  • Which tools the business already pays for
  • Where leads currently fall through the cracks

Only then do we design the pipeline, the ownership model and the follow-up structure, and configure the system to match.

What we build

A system that covers the whole sales journey

These are the parts we are most often asked to put in place. In each case the point is the business result, not the feature list behind it.

Lead capture

Every opportunity lands in one place, whatever channel it came through, so nothing sits unseen in a personal inbox.

Website forms, email, phone enquiries, referrals, social messages, campaigns, events and manual entry, brought onto a single customer record where the channel supports it.

Lead organisation

Anyone can open a customer and see who owns it, what stage it is at and what has already happened.

Centralised contact and company records, lead ownership, pipeline stages, opportunity tracking, activity history, next-action visibility, segmentation.

Follow-up

Follow-up runs on scheduled tasks and sequences rather than memory, so quotes and warm leads are not left to go quiet.

Follow-up reminders, structured sales tasks, email sequences where appropriate, quote and proposal chasing, stale-lead flags, sales team notifications, customer reactivation.

Sales pipeline

Management can see the pipeline at a glance and tell which deals need attention this week.

Clear opportunity stages, pipeline visibility, next-step tracking, deals needing attention, sales activity, forecasting where the data supports it.

Customer retention

Winning the customer starts a relationship the system keeps track of, instead of the contact going cold after the first sale.

Post-sale follow-up, repeat-customer outreach, reactivation of lapsed customers, review requests, renewal reminders, relationship history.

Reporting

The business can see where leads come from, how quickly they are handled and where they are being lost.

Lead volume, conversion visibility, pipeline status, response activity, lead-source performance, team activity, opportunities requiring attention.

The difference

The same lead, handled two ways

A simplified example rather than a claim that every implementation works identically. The shape of the improvement is usually the same: fewer manual steps, less waiting, nothing left to memory.

Before

  1. 1A lead arrives through one of several channels.
  2. 2Someone notices it, eventually.
  3. 3The details get copied into a messaging app or a spreadsheet.
  4. 4A quote goes out.
  5. 5No next action is recorded anywhere.
  6. 6The prospect goes quiet.
  7. 7Nobody follows up.
  8. 8Weeks later the owner asks what happened to that customer.

After

  1. The lead enters a structured system the moment it arrives.
  2. An owner is assigned and the customer's history is visible.
  3. A next action is created and dated.
  4. Follow-up is scheduled, not left to memory.
  5. The opportunity moves through clear pipeline stages.
  6. Management can see the status without asking.
  7. The system surfaces the opportunities that need attention.

The economics

Before spending more on generating leads, make sure you are converting the ones you already get

Marketing budgets get scrutinised. The cost of a lead that arrives and then quietly disappears rarely does. Every enquiry that is not followed up is money already spent with nothing to show for it, and in most businesses that leak is larger than anyone realises, because nothing is measuring it.

A working sales system does not promise more revenue on its own. What it does is remove the predictable ways opportunities are lost:

Faster response to new enquiries
More consistent follow-up on quotes and warm leads
Fewer enquiries forgotten entirely
Clear ownership of every opportunity
A more organised experience for the customer
Better return on the marketing you already do
More repeat and reactivated business
Visibility into what is converting and what is not
Less of the owner's time spent chasing updates
Stronger sales accountability across the team

How we work

Four stages, strategy through implementation

We are not only here to recommend a structure. Where it is agreed, BizPromptly builds and configures it.

01

Review

We look at how leads enter the business today, how the sales journey runs and where opportunities are being lost.

02

Design

We define the sales process, pipeline stages, ownership model and follow-up structure the business should actually run on.

03

Implement

We configure the CRM, workflows, automations, forms, reporting and integrations, then migrate the customer data that needs to come across.

04

Optimise

We check the team is using it, review pipeline performance and bottlenecks, and keep improving the setup.

Process, then software

Buying CRM software is easy. Building a sales process people actually use is harder.

Plenty of businesses already own a CRM and still lose leads. The licence was never the problem. The system tends to fail in the same predictable ways:

  • The pipeline stages do not match how the business really sells
  • Staff do not keep it updated because a notebook is faster
  • No one clearly owns follow-up
  • Customer records are half-complete
  • Automations were switched on but never tuned
  • The reporting exists but managers do not trust or use it
  • There is no agreed sales process for the CRM to support

We work on the process and the system together. The software is configured around an agreed way of selling, and the team is brought with it, because a CRM nobody updates is worse than the spreadsheet it replaced.

Your existing systems

You may not need to replace everything

If you already use a CRM or a set of tools, the first job is to work out how much of the problem is the tool and how much is the setup. Often the existing system can be:

  • Improved, so it does what you are already paying for
  • Configured properly around how you actually sell
  • Connected to the other tools you use
  • Automated, so routine follow-up and admin happen on their own
  • Consolidated where you are paying for overlapping tools
  • Supplemented with something new only where there is a genuine gap

Where a different CRM or additional infrastructure genuinely is the right call, we will say so and explain why. Replacing systems is not the default.

What it can look like

A structured process, by example

Illustrative examples of what a structured sales process can look like, not specific client implementations.

Cleaning business

Website enquiry → lead created and owner notified → quote task created → follow-up scheduled → customer won → review request and repeat-service reminder.

Property business

Landlord enquiry → prospect categorised → follow-up assigned → opportunity tracked through stages → documents and actions recorded → ongoing communication managed.

Professional services

Consultation enquiry → qualification → meeting booked → proposal stage → structured follow-up → won or lost recorded → ongoing relationship activity.

Fit

Who this is for

Especially relevant if this describes your business

  • Leads arrive through several different channels.
  • The owner has little visibility into day-to-day sales activity.
  • Leads regularly need manual chasing.
  • Quotes go out but are not followed up in any systematic way.
  • Customer details are spread across people and tools.
  • Sales depends heavily on what individual staff remember.
  • Past customers are rarely contacted again.
  • Marketing produces enquiries but conversion is unclear.
  • The business is outgrowing spreadsheets.
  • Managers cannot easily see which opportunities need attention.

Probably not the right time if

  • There is very little enquiry or sales activity yet.
  • There is no repeatable sales process to structure.
  • You only want the cheapest CRM licence and nothing else.
  • The expectation is that software alone will fix a weak offer.
  • Nobody in the business is willing to adopt a consistent process.

If that is where things stand, it is usually better to sort the process or the proposition first. We are happy to talk it through either way.

Questions

Common questions

What is a CRM?

A CRM, or customer relationship management system, is the single place a business keeps its customers, enquiries and opportunities, along with who owns each one, what stage it is at and what needs to happen next. Used well, it is the operating system for the sales side of the business rather than just an address book.

Do small businesses really need a CRM?

If a business handles a handful of enquiries a month and one person manages all of them, a spreadsheet can be enough. Once there are multiple channels, more than one person involved, or enough volume that things start slipping, a structured system usually pays for itself quickly in opportunities that no longer get lost.

What is the difference between a CRM and a sales process?

The sales process is how you actually sell: the stages an opportunity goes through, who does what, and when follow-up happens. The CRM is the tool that supports it. Buying the tool without agreeing the process is the most common reason CRM projects fail.

Can you work with the CRM we already have?

Usually, yes. In many cases the existing CRM is capable and the issue is configuration and adoption. We review what you have and tell you honestly whether it is worth building on or replacing.

Do we have to change our current software?

Not by default. We start from your requirements and your existing tools. A change is only recommended where the current system genuinely cannot do what the business needs, and we explain the reasoning if so.

Can BizPromptly set the CRM up for us?

Yes. The CRM & Sales System Implementation package is a hands-on build: pipeline design, configuration, workflows, forms, reporting and integrations, with the team trained and a proper handover.

Can you migrate our existing customer data?

Yes, where the data is accessible and worth bringing across. Migration and clean-up are usually part of an implementation, and the scope depends on how much data there is and what state it is in.

Can you automate customer follow-up?

Yes. Follow-up reminders, task creation, quote chasing, stale-lead flags and email sequences where appropriate are a normal part of the build. The aim is that follow-up happens on a schedule rather than depending on someone remembering.

Can you help us manage leads from multiple channels?

Yes. Bringing enquiries from website forms, email, phone, referrals and messaging into one place with a single record per customer is one of the main reasons businesses come to us.

How much does CRM implementation cost?

The Sales & CRM Diagnostic starts from £295. Implementation through a CRM & Sales System Implementation starts from £1,500. Ongoing support as a Sales Systems & CRM Partner starts from £750 per month. Final pricing depends on business size, number of users, current systems, data migration, workflow complexity and integrations.

What happens during the Sales & CRM Diagnostic?

We run a discovery session on how leads enter the business and how the sales journey works, review your current tools, pipeline, follow-up and customer data, and identify where opportunities are being lost. You get a recommended CRM and sales structure and a prioritised roadmap you can act on with or without us.

Can you provide ongoing CRM support?

Yes. The Sales Systems & CRM Partner engagement covers ongoing pipeline and CRM improvements, workflow management, reporting, follow-up automation, data quality and adoption support, without you needing to hire for it.

Do we have to use ISCANET?

No. BizPromptly starts with your business requirements and existing technology. Where appropriate we can work with your current systems or recommend the right setup. ISCANET may form part of some solutions where it makes commercial and operational sense, but it is not a requirement and it is not the focus of this service.

Can you train our team?

Yes. Training and adoption support are part of an implementation, and the Partner engagement includes ongoing adoption help. A system the team does not use has no value, so this is treated as part of the work rather than an add-on.

Every lead should have a next step.

If opportunities are getting lost between enquiries, quotes, follow-ups and customer conversations, BizPromptly can help you build a sales system that gives your team structure and your management better visibility.
