Operations & Growth

Build a business that runs better, grows stronger and depends less on you.

BizPromptly helps growing businesses identify operational bottlenecks, improve processes, strengthen customer management, introduce smarter systems and build the infrastructure needed for sustainable growth.

Sound familiar?

The problems that show up when a business outgrows the way it runs

Most of the businesses we work with are not struggling to find customers. They are struggling to keep up with the ones they already have. Revenue is growing, the team is busier than ever, and yet the business feels harder to run than it did two years ago.

The cause is usually the same. The company has grown but the way it operates has not. Processes that worked with three people start to break with fifteen. Information that used to sit in one person’s head is now spread across inboxes, spreadsheets and chat threads. The owner becomes the point of failure for decisions, approvals and anything out of the ordinary.

  • Almost everything of importance still runs through the owner.
  • Enquiries come in steadily, but follow-up depends on who happens to be free that day.
  • Customers occasionally fall through the cracks, and nobody notices until they complain.
  • Two people doing the same job do it in two different ways.
  • Key details live in chat threads, personal spreadsheets and people's memory.
  • Management has little visibility into what is actually happening week to week.
  • Manual admin quietly consumes hours that should go into billable or strategic work.
  • The software you already pay for is half-implemented or disconnected from everything else.
  • Nobody clearly owns certain responsibilities, so they get done inconsistently or not at all.
  • Every stage of growth adds pressure instead of making the business feel more solid.

If several of these feel familiar, the issue is rarely effort or talent. It is structure, and structure is something you can fix.

Our approach

An operations and growth partner, not a software vendor

We start with the business, not the technology.

BizPromptly works as an outside operations and growth partner for established businesses. Our job is to understand how your company actually works, find what is holding it back, and help you put something better in place. Technology is often part of the answer, but it is never the starting point.

Before recommending anything, we take the time to understand:

  • How the company makes money, and where the margin is strongest.
  • Where customers come from, and how reliably that flow can be repeated.
  • How enquiries are handled, from first contact to signed work.
  • How work is delivered, and where it slows down or goes wrong.
  • How the team is organised, and where responsibilities are unclear.
  • What management can see, and what it is currently blind to.
  • Where time, money and attention are being lost.
  • Where there are opportunities the business is not yet acting on.

Only then do we agree what needs to change, in what order, and how far you want us to be involved in making it happen.

Where we help

The areas we typically work on

Every engagement is shaped around your priorities. These are the areas we are most often asked to improve, described by the result they are meant to produce rather than the tool involved.

Operations and process improvement

We redesign the workflows behind your day-to-day delivery so work moves through the business predictably, with fewer delays, fewer errors and less reliance on individuals remembering the right steps.

Customer journey and retention

We map what a customer actually experiences from first enquiry to repeat purchase, then close the gaps where interest goes cold, handovers are missed or existing clients are quietly neglected.

Lead management, CRM and sales process

We put a proper system around enquiries so every lead is captured, followed up on time and visible to management, and your CRM finally reflects the way you actually sell.

Automation and administration

We find the repetitive manual work consuming your team's time and automate the parts that do not need a person, so capacity goes back into the work that matters.

SOPs, roles and accountability

We document how the important jobs are done and make ownership explicit, so standards hold as you add people and the business is less exposed when someone is away or leaves.

Reporting, KPIs and management visibility

We define the handful of numbers that tell you whether the business is healthy and build simple reporting, so leadership can plan ahead instead of reacting to whatever lands that week.

Systems and technology implementation

Where better systems are needed, we choose them on merit, implement them properly and make sure they connect to everything else, rather than adding another disconnected tool.

Growth planning and project delivery

We turn growth ambitions into a sequenced plan and then oversee delivery, so the improvements actually get made alongside the day job.

How we work

A straightforward four-stage engagement

01

Diagnose

We get to know the business properly: how it makes money, who your customers are, what the numbers say, how the team works, what systems are in place and where the current friction sits.

02

Prioritise

We identify the problems and opportunities that will make the biggest commercial difference, and agree a clear order of work rather than trying to fix everything at once.

03

Implement

We help put the changes in place: revised processes, better-configured systems, sensible automation and the operational improvements that support them.

04

Optimise

We track how the changes perform, keep what is working, adjust what is not, and look for the next improvement worth making.

Fit

Who this is for

A strong fit if you are

  • An established small business or growing SME with real customers and revenue.
  • Owner-led, and finding that the founder has become the bottleneck.
  • Running a team, but without the systems to match it.
  • Generating decent revenue while operating less efficiently than you should be.
  • Feeling operational growing pains that get worse with every new client or hire.
  • Preparing for the next stage of growth and want the foundations right first.

Probably not the right fit if you want

  • The cheapest software on the market and nothing else.
  • A hundred-pound website.
  • General business advice with nobody to help implement it.
  • A template handed over with no involvement in making it work.

There is nothing wrong with any of those. They are simply not what this service is for.

What changes

What a good engagement leaves behind

The specifics depend on where your business starts and how far we take the work. These are the kinds of changes clients are usually working towards.

Clearer visibility into how the business is performing
Processes that are written down and consistently followed
More reliable, more timely customer follow-up
Less time lost to manual administration
Explicit ownership and stronger team accountability
Better management information to plan with
Fewer bottlenecks in day-to-day delivery
A more consistent experience for your customers
Technology that is actually used, and properly connected
Operations that can absorb growth without breaking
A business that leans less heavily on the founder

Questions

Common questions

What does an operations consultant actually do?

In practice, we look at how your business runs and help you make it run better. That means reviewing your processes, your customer handling, your systems, your team structure and your numbers, working out what is causing friction or lost revenue, and then helping you put better arrangements in place. It is less about advice on paper and more about changing how the business works day to day.

What happens during the Business Growth & Operations Diagnostic?

We start with a discovery session to understand the business, then review how enquiries are handled, how work is delivered, how the team operates and what your systems and numbers look like. You receive a clear write-up of the main bottlenecks and missed opportunities we found, a prioritised set of recommendations, and a practical 30, 60 and 90 day roadmap you can act on with or without us.

Do you only make recommendations, or can you implement the changes?

Both. Some clients want an independent review and then run with it themselves. Most ask us to stay involved and help implement the changes, whether that is redesigning a process, configuring a CRM properly, building automations or standing up management reporting. The Improvement Sprint and the Fractional Partner engagement are both built around implementation.

How much does BizPromptly operations support cost?

The Diagnostic starts from £395. Implementation work through an Operations Improvement Sprint starts from £2,500, and ongoing Fractional Operations and Growth Partner support starts from £1,500 per month. Where you land within that range depends on the size of the business and the scope of the work.

Why do your prices say “from”?

Because the work genuinely varies. A six-person business with one system to fix is a different job from a forty-person business with several. Rather than quote a fixed price that is wrong for most people, we publish a realistic starting point and confirm the actual figure once we understand the scope.

Can you work with our existing software?

Usually, yes. In most cases the problem is not the software itself but how it has been set up and connected. We would rather get more value from what you already have than replace it for the sake of it. If something genuinely is not fit for purpose, we will say so and explain why.

Do we have to use ISCANET?

No. We use a range of tools depending on what the business needs, and ISCANET is one option we may use behind the scenes as part of delivery. The engagement is about improving your operations and growth, not selling you a particular platform.

Can you work alongside our existing management team?

Yes, and that is normally how it works. We are there to support the people running the business, not replace them. In a Fractional Partner arrangement in particular, we work closely with your leadership on planning, priorities and problem-solving.

What size businesses do you work with?

Typically businesses with somewhere between five and fifty employees that have established customers and revenue and are dealing with the operational side of growth. Smaller businesses with clear ambitions, and larger ones with a specific problem to solve, can also be a good fit.

Can you provide ongoing operational support?

Yes. The Fractional Operations and Growth Partner engagement is designed for exactly that: regular senior input on performance, planning, systems and improvement without hiring a full-time operations lead. The level of involvement and commitment is agreed with you based on what the business needs.

Your next stage of growth may not need more people. It may need better operations.

If the business feels harder to run than it should, that is worth a conversation. Tell us where you are and where you want to get to, and we will tell you whether we can help.
